Intake Forms for Pool Service Companies: Water Chemistry, Equipment Inventory, and Maintenance Scheduling

A pool service technician who shows up to a new account without knowing whether the pool is saltwater or chlorine, whether the filter is sand or cartridge, or how many gallons the pool holds is going to waste the first visit on discovery instead of service. Worse, they may dose chemicals for a 15,000-gallon pool when the pool holds 30,000 — turning a routine maintenance visit into a water chemistry correction that takes days to resolve.

Pool service is equipment-intensive, chemistry-dependent, and schedule-driven. A proper pool service intake form collects the information needed to classify the service, inventory the equipment, establish a chemical baseline, plan for access and safety, and set scheduling expectations — all before the first truck roll.

Pool classification and specifications

Every pool is different, and the differences are not cosmetic — they determine chemical dosing, equipment compatibility, cleaning methods, and pricing. Your intake form needs to capture the physical and mechanical specifications that drive your service decisions.

Construction type. In-ground vs. above-ground is the first classification, but the construction material matters more for service purposes. Concrete and gunite pools can tolerate aggressive brushing and higher chemical concentrations. Vinyl liner pools require gentler cleaning tools and careful chemical management to avoid bleaching or deterioration. Fiberglass pools resist algae better but can develop osmotic blistering. Each material has its own maintenance profile, and your intake form should capture it explicitly.

Pool volume. Gallons are not a nice-to-have — they are the basis for every chemical dosing calculation. Adding two pounds of shock to a 10,000-gallon pool is appropriate. Adding the same amount to a 40,000-gallon pool accomplishes nothing. If the homeowner does not know their pool’s volume, your intake should capture the length, width, average depth, and shape so you can calculate it. This field pays for itself on every visit.

Sanitization system. Saltwater, traditional chlorine, mineral system, ozone, or UV — each uses different chemicals, different equipment, and different maintenance intervals. A saltwater pool requires salt cell inspection, salinity testing, and periodic cell cleaning that a traditional chlorine pool does not. Your intake must capture the sanitization method before the first chemical treatment.

Heating and special features. Gas, electric, heat pump, or solar heating — each has its own service schedule and failure modes. A spa or hot tub attached to the main pool runs at a different temperature and requires independent chemical management. Infinity edges and vanishing edges have surge tanks and additional plumbing that affect circulation and chemistry. These features change the scope of service and should be captured at intake, not discovered on-site.

Equipment inventory

Pool equipment fails. It does not fail on a convenient schedule. An intake form that documents every piece of equipment — brand, model, age, and condition — allows you to anticipate failures, stock the right parts, and give the homeowner honest expectations about equipment lifespan.

Pump. Single-speed, dual-speed, or variable-speed — and the distinction matters for energy costs, run-time scheduling, and replacement planning. Variable-speed pumps are now required by Department of Energy regulations for new installations and replacements in many states. Capture the brand, model, horsepower, and approximate age. A pump that is 8 years old is not broken, but it is approaching the end of its typical service life, and the homeowner should know that.

Filter. Sand filters require backwashing. Cartridge filters require periodic cartridge replacement. Diatomaceous earth (DE) filters require DE powder recharging after backwashing. Each type has a different maintenance interval and a different annual cost. Your intake should capture the filter type, last cleaning or replacement date, and the filter’s rated capacity relative to the pool volume.

Salt cell. For saltwater pools, the salt cell is the most expensive recurring replacement — typically $400 to $800 every 3 to 5 years depending on usage and maintenance. Capture the brand, model, age, and last cleaning date. A cell that has never been cleaned is likely scaled and underperforming, which explains why the homeowner called you.

Automation, lighting, and covers. Automation systems (Pentair IntelliCenter, Hayward OmniLogic, Jandy iAquaLink) control pumps, heaters, lights, and water features from a central controller or app. If the homeowner has automation, you need to know the brand and model to program service schedules and diagnose issues remotely. Pool lights — LED, fiber optic, or incandescent — each have different replacement procedures and electrical requirements. Automatic covers have their own motor, track, and control systems that need periodic service.

Water chemistry baseline

Taking over a pool without a chemistry baseline is like treating a patient without taking vital signs. You need to know where the water is now to determine what it needs.

Last water test results. If the homeowner has recent test results — from a pool store, a previous service company, or a home test kit — capture them. Free chlorine, pH, total alkalinity, calcium hardness, cyanuric acid (stabilizer), and salt level (for saltwater pools) are the core readings. These numbers tell you whether the pool is chemically balanced, trending toward a problem, or already in trouble.

Current chemical treatment method. Is the homeowner using tablets in a floater, liquid chlorine, an automatic chlorinator, or a salt cell? How often are they adding chemicals? Are they using algaecide, clarifier, or phosphate remover? Understanding what has been going into the pool explains the current water condition and helps you establish a treatment plan.

Ongoing issues. Persistent green water is usually a circulation problem, not a chemical problem — but most homeowners dump chlorine at it and call a professional when that does not work. Cloudy water can indicate filtration failure, high calcium, or high total dissolved solids. Staining on the pool surface suggests metals in the water, often from well water or corroding equipment. Capture the homeowner’s description of the problem, but also capture the duration — a pool that has been green for two days is a different job than a pool that has been green for two months.

Service type classification

Pool service is not a single product. Each service type has a different scope, a different price point, and a different scheduling requirement. Your intake form should classify the service up front so the estimate, the technician assignment, and the equipment loaded on the truck all match the actual job.

Weekly chemical maintenance. The bread-and-butter recurring service: test water, adjust chemicals, skim debris, brush walls, vacuum, empty baskets, check equipment. Priced monthly, scheduled weekly, and the foundation of every pool service company’s revenue.

Green-to-clean. A one-time remediation service for pools that have been neglected. This is a multi-visit job — initial shock treatment, debris removal, filter cleaning or replacement, and gradual chemical rebalancing over several days. Green-to-clean pricing is typically flat-rate and significantly higher than a single maintenance visit because the labor and chemical costs are front-loaded.

Equipment repair. Pump replacement, filter repair, heater service, salt cell replacement, leak detection, or plumbing repair. Equipment work requires different skills, different parts inventory, and often a dedicated service technician rather than a route technician.

Seasonal service. Pool opening in the spring and pool closing in the fall are distinct service types in markets with cold winters. Opening involves removing the cover, reconnecting equipment, filling the pool, and balancing chemistry. Closing involves lowering the water level, blowing out plumbing lines, adding winterizing chemicals, and installing the cover. Both are scheduled months in advance and must be captured at intake for capacity planning.

Access, safety, and property considerations

Pool service happens on the homeowner’s property, often when they are not home. Access, safety, and property conditions all need to be documented before the first visit.

Property access. Gate code, lock combination, key location, or smart lock access — your technician needs reliable entry. Document the access method and a backup contact if the primary method fails. Nothing wastes money faster than a truck roll to a locked gate.

Pets. Dogs that run out of open gates are a liability issue and a scheduling constraint. Some homeowners will need to secure pets before your technician arrives. Others have dogs that are fine with service personnel. Your intake should ask the question directly rather than leaving it to the technician to discover when a 90-pound dog charges the gate.

Pool fence and safety compliance. Local building codes require pool fencing, self-closing gates, and sometimes pool alarms. If you notice non-compliance during your assessment visit, documenting it at intake creates a paper trail. You are not the code enforcement officer, but noting the deficiency protects you and gives the homeowner constructive information.

Children in the household. This affects chemical storage communication. If you leave chemical products on-site between visits — chlorine tablets, acid, algaecide — you need to ensure they are stored safely and that the homeowner understands the hazards.

Scheduling, communication, and billing

The intake form is also where you set service expectations. A homeowner who expects Tuesday service and gets Thursday service every week will eventually become a former customer, even if the chemistry is perfect.

Preferred service day. Most pool service routes are organized by geography — Monday is the north side of town, Wednesday is the south — but homeowners have preferences. Capture the preference and note whether it is a strong preference or flexible.

Communication preferences. Does the homeowner want a text when service is complete? An email summary with chemical readings? A note left at the pool? Some homeowners want full transparency. Others just want a clean pool and no contact unless something is wrong. Match your communication to their preference.

Equipment purchase authorization. A common friction point: the pump capacitor fails during a routine visit. Can the technician replace a $30 part without calling? What about a $200 part? Establishing a pre-authorized spending threshold at intake eliminates the back-and-forth that delays repairs and frustrates homeowners.

Billing structure. Monthly billing for recurring service, per-visit billing for one-time work, or a seasonal contract. Capture the billing method, payment preference, and whether the homeowner wants itemized invoices or a flat monthly statement.
