Landscaping & Outdoor Service Intake Forms
Outdoor service businesses need property details that indoor trades never think about. Lot size, grade and slope, sun exposure, soil type, existing irrigation, drainage issues, underground utilities, and HOA restrictions all affect how you plan, price, and execute a job. A landscaper showing up to a sloped half-acre lot with clay soil and a strict HOA needs to know all of that before writing a proposal. These five forms cover the main outdoor service categories, each with the site-specific fields that matter for that trade.
Five Forms for Outdoor Trades
The Landscaping & Lawn Care form is the broadest of the five. It captures property size, current lawn condition, grass type, existing plantings and hardscape, sun and shade mapping, irrigation system (type, zones, coverage), soil conditions, drainage problems, and pest history. There are separate checkbox sections for design services (landscape design, garden installation, hardscape, retaining walls, outdoor lighting) and maintenance services (mowing, edging, fertilization, aeration, overseeding, leaf removal, seasonal cleanup). For recurring maintenance accounts, it captures mowing frequency and preferred schedule.
The Tree Service form is built around the trees themselves. It captures species (or best guess), approximate height and trunk diameter, overall condition (healthy, declining, dead, storm-damaged, leaning), proximity to structures and power lines, and any signs of disease or infestation. There are checkboxes for service type: pruning, crown reduction, deadwood removal, tree removal, stump grinding, emergency storm response, and cabling/bracing. It also asks about access for bucket trucks and chippers, and whether the customer wants the wood kept, hauled, or chipped.
The Irrigation form needs system-level detail. It captures water source (municipal, well, pond, reclaimed), existing system type (sprinkler, drip, manual), number of zones, controller brand and model, backflow preventer type, and head types by zone. Checkboxes cover service type: new installation, system expansion, repair, winterization, spring startup, controller upgrade, and smart controller conversion. It asks about water pressure, known coverage gaps, and areas of overwatering or runoff.
The Fencing form captures the property boundary details: total linear footage needed, whether a survey exists, gate count and sizes, corner and end posts, grade changes along the fence line, and existing fence removal. Material preference checkboxes include wood (cedar, pine, pressure-treated), vinyl, aluminum, chain link, wrought iron, and composite. It asks about HOA height and material restrictions, setback requirements, and whether the fence is for privacy, pets, pool code, or property line definition.
The Deck & Patio Construction form covers both elevated decks and ground-level patios. It captures the desired footprint dimensions, height above grade, attachment method (ledger-mounted, freestanding), material preference (pressure-treated lumber, cedar, composite, PVC, natural stone, pavers, concrete), railing requirements, stair count and location, and any built-in features (benches, planters, pergola, fire pit, outdoor kitchen hookups). It asks about permit requirements and whether the customer has HOA architectural review approval.
What the Client Questionnaire Covers
Each form includes a client questionnaire that the homeowner fills out before the estimate visit. It has them describe the project in their own words, note their priorities (appearance, function, budget, timeline), flag any known issues with the property (drainage, utilities, neighbor disputes about boundaries), and provide access and scheduling details.
